We collect your personal data in a transparent manner with respect to you, and we only collect the personal data that is necessary (principle of proportionality) and for a specific period of time (see under 1.h).

The legal basis for the processing of personal data of visitors, prospects, employees, customers, subcontractors is our legitimate interest in carrying out such processing on the data of visitors, prospects, employees, customers, subcontractors.

The processing of personal data of third parties (visitors, prospects, workers, customers, subcontractors) is based on our legitimate interest in communicating to them events and services that we think may be of interest to them.

1.6.Do we share and disclose your personal data to third parties ?

We do not sell your personal data to anyone.

In order to inform you or to organize activities, trainings or events, we reserve the right to share your personal data with other organizations, which undertake at least (1) not to use your personal data for purposes other than those defined in the collaboration agreement (see under 1.d) without your prior, free, specific and informed consent, and (2) to include in each e-mail an option (opt-out) through which you can easily obtain removal from their mailing lists, at no cost.

By registering for activities, trainings or events that we organize ourselves or with other organizations, you agree to have your contact information (last name, first name, business sector/specialties, e-mail address) included in the list of participants.

If necessary, we reserve the right to use photos or video sequences taken during activities, training courses or events, in which you appear, in our Bulletin or Newsletter, on our website or on media managed by other organizations, according to the terms and conditions defined above; at any time you have the right to refuse this publication, by sending us a letter or a specific e-mail to our address.

In addition, for our protection, we reserve the right to access, read, preserve and disclose any personal data as necessary to comply with the law or a court order; to enforce or apply our agreements with you and other agreements; or to protect the rights, property or safety of ourselves, our employees, our members or others.

Finally, in certain circumstances, we may be required to disclose your personal data to respond to valid requests from public authorities, including to meet national security requirements or to enforce the law.

1.8.How long do we keep your personal data ?

Personal data of third parties is retained for a maximum of 10 years from the last contact with the individual.

At the end of the retention period, and unless we are required by law or regulation to do so, in particular to enable us to establish proof of a right or contract, such personal data will be deleted from our computer and paper files.

By deletion, we mean the deletion of such personal data in our computer files and in the recycle garbage can, as well as the destruction of the paper file.

2. Copy of your personal data (Article 15)You can ask us whether we are processing personal data about you, and where we are, you can ask us to obtain a copy of that personal data that is being processed.

3. Rectification or supplementation of personal data (Articles 16 and 19).  You may ask us to correct personal data concerning you that are inaccurate and to complete incomplete personal data, including by providing a supplementary declaration.

4. Request for erasure of your personal data (Articles 17 and 19).  You may request us to erase any personal data about you for which the legal requirements for processing do not exist or no longer exist.

5. Limiting the processing of your personal data (Articles 18 and 19).  You can ask us to limit the way in which we process your personal data.

6. "Portability" of your personal data (Article 20).  You can ask us for a copy of the personal data you have provided to us, and you can ask us to transfer that personal data directly to another controller you specify.

2.2.  How to exercise your rights? - Your request

You can send us your request by e-mail/email to the following address: admin@the-event.be, OR by post to our postal address.

For your request to be eligible, it must meet at least the following criteria :

1. Language : You must submit your application in one of the national languages or in English.

2. Your personal identification : You identify yourself with at least what we can consider a first and last name.

3. Identification of your request : Your request relates to one of the rights of the GDPR.

If one of these 3 criteria is not met, we will immediately inform you that the 3 eligibility criteria have not been met and that we cannot process your application.

Re 1.  Language : If the request is made in an ineligible language, we will send you a standard response to the most likely address found in the request (e-mail or postal address) and attach a copy of our Privacy Policy.

Re 2. identification : It is essential that we can identify you with sufficient certainty; therefore, you attach to your request:

  • a copy of your identity card, AND/OR

  • a copy of your driver's license, AND/OR

  • a copy of your international passport, AND/OR

  • any other proof of identity you choose

Re 3.  Request : Next, you describe precisely the purpose of your request, attaching, if necessary, evidence of your request (e.g. in case of a request for rectification).

If we can identify you with sufficient certainty, AND if we are responsible for the processing of your personal data, then we will process your request and respond to you within 1 month of your validated request.  If necessary, due to the complexity and number of requests, this period may be extended by 2 months; in this case, we will inform you of this extension and the reasons for the postponement within 1 month of your validated request.

If we cannot identify you with sufficient certainty, we will respond to you within 1 month of your request (except in the case of more complex requests), requesting additional proof of identification, such as your valid mailing address.

If we believe that we do not have any personal data about you, we will respond (within 1 month of your request) that you should direct your request to the controller of your personal data, and we will then close your request.
